What we collect
When you use our contact form. Your name, address, postcode, telephone number, email address, when you would like to be contacted, details of the work you want done, your approximate budget, your intended start date, whether you have drawings or planning permission, and any files you choose to attach such as drawings, specifications or photographs.
When you use our online cost calculator. Your postcode, the type and size of project, the options you select, and if you ask us to email your indicative budget, your name, telephone number and email address.
When you contact us directly. Anything you include when you email, telephone, write to us or message us.
If we visit your property or carry out work. Site notes, measurements, photographs of the property and the works, correspondence, and the records needed to quote for and deliver the job.
When you visit our website. Information collected automatically by Google Analytics, including your approximate location, device and browser, the pages you view and how you arrived at our site. See Cookies and analytics below.
If we write to you about a planning application. Where we write to homeowners whose planning applications appear on their local council’s public planning register, we use the name and address published by the council on that register.
Why we use it, and our lawful basis
- To answer your enquiry and prepare a quotation, because you have asked us to and we are taking steps at your request before entering into a contract.
- To carry out building work, manage your project and deal with any issues afterwards, because we have a contract with you.
- To meet our legal and tax obligations, including HMRC records, VAT, Construction Industry Scheme returns, health and safety duties, and our duties as Principal Contractor under the Construction (Design and Management) Regulations 2015.
- To keep records of quotations, variations and completed work, so we can protect our position if a dispute or a claim under our workmanship guarantee arises. This is in our legitimate interests.
- To write to homeowners about their planning application to introduce our services. This is in our legitimate interests as a local building contractor. You can ask us to stop at any time and we will not write to you again.
- To understand how our website is used and improve it. This is in our legitimate interests. See Cookies and analytics.
Photographs of completed work
We photograph our projects and may use those photographs on our website, in printed material and on social media. We do not name clients or give full addresses without permission. If you would prefer we did not photograph your property, or you want a photograph removed, tell us and we will do so.
Who we share it with
We do not sell your personal information, and we do not share it for anyone else’s marketing.
We share it only where necessary, with:
- Our website host and email provider, who store the information on our behalf
- The customer management and accounting systems we use to run the business
- Subcontractors, suppliers and consultants working on your project, where they need your details to do so
- Architects, structural engineers and building control bodies, where your project requires it
- Our accountant, and HMRC and other authorities where the law requires it
- Our insurers and professional advisers if a claim or dispute arises
- The mailing house that prints and posts our letters, where we write to you about a planning application
Some of these providers store data outside the UK. Where they do, we rely on the UK’s approved safeguards for international transfers.
How long we keep it
- Enquiries that do not lead to a job: 12 months from your last contact.
- Quotations and project records: six years from completion of the work, and longer where we may still face a claim relating to the building work.
- Accounting and tax records: six years from the end of the accounting period, as required by HMRC.
- Planning-register mailing lists: 12 months, or immediately if you ask us to stop writing to you.
Cookies and analytics
Our website uses Google Analytics to count visits and see which pages are used. It sets cookies on your device and collects the information described above. Google acts as our processor for this.
You can block or delete cookies through your browser settings, and you can opt out of Google Analytics entirely using Google’s browser add-on at tools.google.com/dlpage/gaoptout.
Your rights
Under UK data protection law you can ask us to give you a copy of the information we hold about you, correct it if it is wrong, delete it, restrict how we use it, or provide it in a portable format. You can object to us using it where we rely on legitimate interests, including objecting to receiving letters from us. Where we rely on your consent, you can withdraw it at any time.
